Exhibitors have access to the venue from 08:00 with a valid exhibitor pass.
The stand constructors and Innovation Norway will be at the pavilion from 11.00 to 12:00 on Tuesday 20 May, and probably in the afternoon on Monday 19 May (TBC). The halls are closed for cleaning between 12:00 and 16:00 on Tuesday 20 May.
The opening reception starts at 16:00 on 20 May. It is not expected for you to be on the stand, its an early viewing for some Government delegations to walk around so it will be nice if you are at the ceremony and on stand by, but its not a reqiurment to man the stand.

Emergency procedures
Evacuation or partial evacuation is on the advice of the Venue. Should an emergency occur that necessitates an evacuation, an announcement will be made over the PA system. Exit the building immediately via the nearest exit point and make your way on foot to your closest Assembly Point (The square in front of the building). Please refrain from using mobile phones at this time.
Whilst at the Assembly Point you will be kept informed of developments. When the emergency has ceased you will either be invited to return to the exhibition to resume normal business or advised to return the next day – in which case you will not be permitted to return to the exhibition to collect vehicles, bags, briefcases etc.
Please bring your QR code to collect your badge at the venue.
For security reasons, every member of your stand staff must present an Exhibitor badge in order to gain admission to the hall.
This provides access to the show during build-up and dismantle times as well as the open period. It is requested that exhibitors have access to their badges at all times during the event. Exhibitor Personnel Badges can be ordered online through the Exhibitor Hub.
Ban on single-use plastic
There is a ban on the use of single-use plastic. This specifically concerns the following plastic products: - cotton swabs, - cutlery, - plates, - straws - stirrers, - balloon sticks and balloons, - sanitary towels, tampons, insertion sleeves for tampons, - wet wipes, - tobacco products with filters, loose filters for use in combination with tobacco products, - single food packs, - drinking cups, - beverage packaging and beverage bottles incl. caps and lid of max 3 litres, - light plastic carrier bags, plastic bags and wrappers.
Transportation
Rotterdam Ahoy encourages the use of public transport and other means of transport, such as, bicycles. The venue can easily be reached by public transport (metro and bus station nearby) and provides secure facilities for storing bicycles

No one enjoys getting stuck in exhibition traffic and it is very easy for courier drivers to refuse to deliver your items. Therefore contact the Official Logistics Provider who would be more than happy to manage this for you instead. Give them a call to see how they can help ensure a smoother onsite experience for you and your team.
Tuesday 20 may 2025 - Clear isles for cleaning
To help ensure that the aisle carpet can be laid on time and the cleaning team has a sufficient amount of time to ensure that the show is cleaned and ready for the show opening it is compulsory that all empty boxes, storage crates, ladders, unused stand fitting materials, pallets, etc. are removed from the aisle by 12:00 on that day. Any items left in the aisles after this time will be removed by DB Schenker and a 100% surcharge will apply for the removal and storage of these items. Everyone working on site must be made aware of this procedure.
