*official WindEurope opening reception from 18:00 to 20:00.
All exhibitor staff (with their valid staff pass or conference pass) will have access to the exhibition halls from 08:00. Please communicate your stand number to the security before entering the hall.
The pavilion will be ready on Monday, 20 April, around 14:00. Feel free to stop by the pavilion around that time. You can also prepare your stand on Tuesday, 21 April between 08:00 and 09:00.
Metro and Cercanías RENFE
The nearest Metro station is FERIA DE MADRID - Line 8 with exits at the South Entrance to the Venue.
The line connects the fairgrounds with the terminals of Madrid-Barajas Adolfo Suárez Airport and the Cercanías RENFE train network at Nuevos Ministerios.
Bus
Madrid’s extensive bus network allows you to get to IFEMA MADRID from anywhere in the city.

There is a supplement of €3.00 to enter and/or exit the facilities.
Exhibitor passes included in the participation fee:
Logo space: 1 free exhibitor staff pass
Regular stand space: 2 free exhibitor staff passes
Large stand space: 3 free exhibitor staff passes
- Access the exhibitor pass registration page via the exhibitor zone.
- All exhibitor staff and conference passes include lunch and free coffee stations.
- The exhibitor staff pass does not include access to the conference.
You can buy 3-day conference pass or single session tickets in the exhibitor zone. - Exhibitors registered for a conference pass do not need to have a separate exhibitor staff pass.
- Accepted payment methods are Visa/MasterCard and payment by invoice. Payment by invoice is only available until 3 April.

- Marketing kit: You will receive a marketing kit that includes an example of a SoMe post and a signature banner. Please help us promote your presence at WindEurope Annual Event by posting your own content and engaging with our posts (like, comment and share).
- Free press releases:
One month before the event you will be able to upload your press release in the Exhibitor zone. Press releases will be published on the Media & Press section of the event website. Tips on content: make your press release short (one page) and relevant. Commercial presentations
are not interesting materials for the press, so please focus more on new products, new research, innovation etc. Add contact details
– in case any journalists would like to reach out and discuss it
further.

You will also see general emergency info printed on the back of your badge.
In case of a medical emergency, contact the telephone number shown above or speak to a member of the WindEurope Team / security.
• Identify yourself;
• Give details of the place, nature and importance of the incident.
In case of fire:
• Keep calm do not shout or run. Do not use the lifts (elevators);
• If your clothing catches fire, fall to the ground and roll;
• If there is a lot of smoke, crawl;
• Do not go back to pick up personal belongings;
• Follow the instructions of IFEMA security.
• If you detect any suspicious item: Do not touch it, keep away from it and call the emergency telephone number or contact the WindEurope team / security.

There are two ways you can invite your clients:
• Exhibition visitor invitations
• Discount code
The most relevant question to decide which tool to use is to decide who will be paying for these passes?
• If it is you to cover the cost, please use exhibition invitations,
• If it is your client covering the cost, it is best to share discount code with them.
Do not use invitations to register your colleagues.
There is a significant difference between exhibitor staff pass and the exhibition visitor pass.
• Exhibitor staff pass has lunch included whereas the exhibition visitor pass
doesn’t have access to lunch area.
• Exhibitor staff pass allows early access to the hall and invitations will not grant an early access.
12 February: Fill in the Health and Safety Declaration Online Form in the exhibitor zone. Compulsory for all exhibitors. You`ll find it in your exhibitor zone. You`ll receive the login to the exhibitor zone after you`ve completed the co-exhibitor registration.
15 February: Co-exhibitor registration deadline.

20 February: Exhibitor profile entry deadline
After registering as a co-exhibitor, you will receive your own login details for your personal Exhibitor Zone, where you can update your company information.
23 February: Submit your graphic design to Messetjeneste. Remember to order a screen and any additional furniture if needed.
9 March: Submit your vectorised logo, 1 sentence (50 characters) and high resolution image for the looping presentation on the big screen and for the logo wall.
10 March: You will receive a SoMe kit with marketing material
13 March: IFEMA service order deadline
You will get coffee, tea, water, and soda at the pavilion. Lunch is included in the exhibitor staff pass, so you shouldn’t have to book anything additional from IFEMA. However, if you need to book anything IFEMA, the deadline is 13 March to avoid an additional surcharge.
March: The final delegation programme will be published.
16 March: Stand activities notification online form submission
Mandatory if you are going to host events at your stand.
Please note that Innovation Norway will need to approve your event first, so contact Veronica.broholm@innovasjonnorge.no before 16 March if you’re planning to host any events at your stand.

All co-exhibitors will have to fill in the Health and Safety Declaration form. You`ll find it in the exhibitor zone
For the question about exhibitor type in the H&S form, answer “co-exhibitor.” For the question about stand type, answer “basic package.”
Deadline:
Public liability insurance
All exhibiting companies with an individual stand space must have a Public Liability Event Insurance that covers up to €1,500,000 current at the time of event. A copy of which will be taken on-site during the event.
Logo-only exhibitors do not need this liability insurance.
We have an exciting Team Norway programme in Madrid, including:
- 20 April: Networking dinner at Hotel Pestana Plaza Mayor. Make sure you arrive in Madrid on time for this dinner. The view from the venue will be amazing!
- 21 April: Exclusive reception at the Real Fábrica de Tapices. Also a great venue!
- 22 April: Business mixer at the pavilion. Maybe also on the 21st – depending on the budget
- 22 April: 5 km morning jog
- Several conference sessions at the Norway Pavilion with a silent conference system, similar to what we had in Copenhagen last year
- B2B meetings with international offshore wind players.

Important: The price for delegation participation will increase from NOK 4,000 to NOK 5,500 on 1 February, so make sure they register before 31 January to secure the lower price.

This is for the looping presentation at the big screen and for the logo wall.
For those of you who have ordered screens, USB ports, and HDMI cables will be available. Bring an adapter if you need it. Files should be in MP4 format.
Shipment sent by courier
If you are planning to use a courier, please do not send it directly to the venue or to your stand. If the shipment is sent by courier, it will likely be lost and difficult to trace back. Very often the boxes are dropped at the gates with no clear information about who signed for the shipment. The venue
does not offer a handling service for courier shipment. WindEurope, Innovation Norway and CEVA cannot be held responsible for the delivery if the shipment is sent by courier without prior arrangement with CEVA. If
the shipment is sent directly, the responsibility is solely on the exhibitor.
It is important that no shipment arrives at the venue before 17.04.2026 and all deliveries are to be agreed with CEVA.
WindEurope does not rent any space in the venue that can store your goods in advance, and it is crucial that the shipment is delivered on the days, when WindEurope / CEVA has access to the venue.
If you have a small shipment and you want to use courier services, please consider 2 options:
• Delivery to your hotel – if the package is small, you can bring it with you to the venue. You do need to agree that with the hotel reception upfront, so they are not surprised.
• CEVA will advise you address of the details that should be on the label and help you with tracking.
CEVA services
CEVA Showfreight are appointed as the sole official logistics contractor at WindEurope 2026 Annual Event. CEVA is the only company that is authorised to provide onsite handling of forklift trucks, mechanical lifting equipment, as well as the storage facilities inside the halls.
If you are planning to bring any big equipment for your stand, CEVA needs to be notified as soon as possible, so placement in the hall can be planned carefully.
